Client Service Contract

Adding a Client Service Contract

How do I add a new client service contract?

Select – List of Clients –> Client file –> Service Contract –> Add a new service contract

Click on the Client tab drop icon on the left side panel

After that, you will see Four options: List of clients, Visits, Cancelled Visits, and Offer Visits

Click on the “List of clients” Tab

Now the list of clients page will show

On the “list of clients” page, those clients will be shown who is already created

The Service Contract tab will be shown on the fifth number, the right-hand side of the personal details tab

Click on the “Service Contract” tab

Now Service Contract page will be open

On the service contract page, you will see the “Add new service contract button”

Click on the “Add new service contract” button

The service contract page will open

Fill in all relevant fields and click on the save button.

TOP TIPS

1) Make sure the service address is completed (use the toggle for ease if same as client page address)

2) Make sure you have a service start date for the visits (end date is usually blank)

3) Add an earliest start time and latest start time along with the preferred time – this helps provide a time buffer for the algorithm and you will get a better output

4) Click on the days for the repeat day pattern e.g. Mon, Tue

5) Use the repeat pattern (mainly use repeating “week” and every “1” week and ends “Never”)

6) Remember to add the number of employees – even if you just complete the number 1 on dropdown without completing any other details.

7) If you have more than one visit time to add on the contract – use the copy button top right hand side of the add service visit block. It looks like two squares overlayed. After copy over – you can easily alter the visit type and the timings prior to save.

On clicking the save button, all the details will be saved successfully and the visits will be applied to the scheduler pages.

Editing a Client Service Contract

Click on any service card which you want to edit

The service contract page will be open

On the service contract page, you will see the “Edit” toggle button

On the “Edit Mode” toggle button, without that, you cannot edit any field

Now edit any field and add the effective date you wish the change to be made from and then click on the save button

On clicking the save button, the edited field will be saved successfully from the effective date selected.

Ending a Client Service Contract

To end a client service contract please open up the contract detail and go to the visits section.

Add to the visit section the correct end date. Add the same end date as the effective date and then change the repeat pattern to end ON the same date. This may feel a bit repetitive when applying to lots of visit times but it is best practice.

Deleting a Client Service Contract

Deleting a Client Service Contract is NOT recommended.

We recommend using the end date to close out contracts instead of deleting them. You will receive a warning message pop up when you try to delete a service contract.

If the contract has been set up in error and no visits are intended for the client then you can use the delete button.
